About the Role

As a Helpdesk Coordinator, you’ll be at the heart of our Glasgow-based FM operations, ensuring the smooth delivery of planned preventative maintenance (PPM) and reactive maintenance services for commercial clients across Scotland.

This role is ideal for those with experience in coordinator roles within facilities, property, or maintenance companies looking to build a long-term career. You’ll be using industry-leading FM software to manage service requests and support engineers and subcontractors in the field.


 Key Responsibilities

  • Log and manage incoming helpdesk tickets and maintenance requests from clients

  • Schedule engineers for planned maintenance and emergency callouts

  • Update job status, client portals, and internal systems using FM software (e.g., Joblogic, simPRO, BigChange)

  • Communicate with subcontractors, clients, and internal teams to ensure SLA compliance

  • Deliver first-class customer support via phone and email

  • Maintain accurate job documentation and service records


What We’re Looking For

  • Proven experience in a Helpdesk Coordinator, Service Administrator, FM Scheduler, or Maintenance Helpdesk role

  • Background in facilities management, building services, or mechanical & electrical (M&E) environments preferred

  • Familiarity with FM systems like Joblogic, simPRO, or similar platforms is desirable

  • Excellent communication and problem-solving skills

  • Highly organised with the ability to thrive in a fast-paced, reactive helpdesk environment

  • Confident with Microsoft Office, CRM systems, and online job management tools
